Established in 2001, Kilross is an IT distributor providing computer software and hardware solutions to various types of businesses throughout the island of Ireland. Through its network of quality Value Added Resellers, Kilross distributes a complete range of Unified Threat Management Systems, Firewalls, VPN, Encryption, Intrusion Prevention Systems, Content Filters, Anti-Spam, Anti-Virus, Anti-Phishing and Vulnerability Scanners.
The Challenge
Kilross were looking for a means to collect payment faster from its clients and reduce administrative costs. When sending out invoices, Kilross would sometimes fax a copy of the invoice or send it via email as a PDF attachment to save time. However in some instances, Accounts Payable required the original invoice as support for payment. In one instance a faxed copy which was closely followed by the original resulted in a duplicate payment. And so while faxing or emailing a copy of the invoice meant the client got the document faster, it did not guarantee faster payment, nor did it reduce administrative and processing costs. Kilross were looking for a cost-effective e-invoicing solution that was VAT compliant and ensured auditability.
Post.Trust Solution
The e-Invoicing Directive 2006/112/EC provides businesses with the option to issue electronic invoices on condition that the authenticity of the origin and integrity of the content of the e-invoice are assured. Within the scope of the Directive, either an Advanced Electronic Signatures (AES) or an Electronic Data Interchange (EDI) system may be used to meet the specific criteria mandated by the Office of the Revenue Commissioners.
Unlike EDI which requires an interchange agreement between the EDI trading partners and is more commonly used for high-volume data transfers between businesses, AES are uniquely linked to the data to which it relates to - in this case an e-Invoice - and protects the integrity of that data.

The Result
Following a customer engagement and education process, many of Kilross clients opted in to receive invoices electronically and the company is experiencing improved relationships with their customers. Invoices are now sent via email attachment in Adobe PDF format digitally signed using a Post.Trust I.D. digital credential. Authorship and integrity of the e-invoices is automatically validated when opened in Adobe® Acrobat® or Reader® software because trust is built into the software. All transactions processed are compliant with all relevant EU Directives and Kilross clients no longer request the traditional paper/ fax invoice to initiate payment. Post.Trust I.D. was integrated into existing processes and systems with minimal disruption. Cost savings have been realised on both sides in terms of reduced staff time re-keying data and scanning documents back into the system. Postage and stationery costs have also been reduced. Reporting and cash flow planning has also improved because the data is more accessible and retrievable – no more information islands and document storage problems.
